Bulk-rename Amazon receipt PDFs — date, counterparty and amount for the Electronic Books Preservation Act

When you save receipts from your Amazon.co.jp order history as PDF in Chrome, every order is saved under the same name — the page title (注文の詳細, "order details", when Amazon is shown in Japanese). With those names you cannot find files by date, counterparty or amount. This page shows how to save one PDF per order and then rename them all at once.

Save one PDF per order

Amazon receipts are shown as web pages, so you save them as PDF with the browser's print function. Saving a receipt shown on a website as a PDF is one of the examples of how to keep data in the National Tax Agency's Q&A (Q36).

  1. Open your Amazon order history in a browser on a computer
  2. Choose 領収書等 (receipts, etc.) for the order
  3. Choose 明細書/適格請求書 (or 領収書/購入明細書 if the first is not offered)
  4. Open the browser's print dialog and save as PDF (in Chrome, set Destination to "Save as PDF"; in Safari on a Mac, use "PDF" at the bottom left of the print dialog, then "Save as PDF")

You can keep the suggested file name. Chrome suggests the page title (注文の詳細 when Amazon is shown in Japanese), so it is the same for every order. You will rename them all in the next step, so save them in one folder.

Neither document can be printed from the Amazon Shopping app. On a smartphone you can print by opening the Amazon site in Safari or Chrome, but some orders are excluded (Amazon help). With many orders, it is easier to work in a browser on a computer.

Rename them all with Dencho Rename

  1. Open the tool page and drop the saved PDFs in together
  2. The date, counterparty and amount appear in a table. Check them against the PDF preview on screen, and fix any that are wrong
  3. Choose the order of the name and the date format (the default is date_counterparty_amount)
  4. Press download to save the renamed PDFs as a ZIP (a single file is saved as a PDF)

The PDFs are processed only inside your browser and are never sent to a server. There is nothing to install and no sign-up.

What is read from an Amazon receipt

From 領収書/購入明細書 saved as PDF in Chrome, with Amazon shown in Japanese, the tool reads the following.

This was checked with 領収書/購入明細書 PDFs. 明細書/適格請求書 PDFs and Amazon shown in English have not been tried yet. Reading is not perfect, so in every case check the table before saving.

Keep the counterparty name consistent

For orders sold by Amazon.co.jp, the counterparty is read as "Amazon.co.jp". If you prefer another form such as "Amazon", fix it in the table. On the paid plan, add "Amazon.co.jp → Amazon" to the counterparty dictionary and it is replaced automatically from then on.

For items sold by a marketplace seller, the seller's name is printed as the issuer of the receipt (Amazon help). The counterparty will be the seller's name, so check it in the table. If each name is always written the same way, nothing is missed when searching.

Frequently asked questions

How many files can I process at once?

On the free plan, up to 5 files can be in the table. After saving, clear them from the table and process the next 5. The paid plan (480 yen a month or 3,980 yen a year) has no limit, and you can line up a few hundred files at once.

Can I print them on paper instead of keeping PDFs?

Receipts from your Amazon order history are electronic transaction data, so keeping only a paper printout is not enough. Keep them as data (Q&A Q5).

Can I just leave them on Amazon?

If conditions are met — for example, the receipts stay viewable on Amazon until the end of the retention period — you do not have to download them (Q45). However, if you close your account, you can no longer see your order history or receipts (Amazon help). Saving them as PDF at a fixed time, such as once a month, is the safer choice.

Is anything needed besides the file name?

The file name covers the search requirement. Keeping electronic transaction data also requires measures against tampering, such as setting internal rules and following them (the search requirement explained, file naming rules).
