Privacy policy
Established: September 14, 2026. This is a translation of the Japanese version; if they differ, the Japanese version prevails.
The operator of Dencho Rename (the "operator") handles user information in the web service Dencho Rename (https://dencho-rename.com, the "service") as follows.
1. We do not receive your files
PDFs loaded into the service, their contents (counterparties, amounts, etc.) and anything you enter or edit on screen are processed only inside your browser and are never sent to the operator's server. The operator cannot see them.
2. Information stored in your browser
The following information is stored in your browser's storage (localStorage).
- Naming rule settings and your business name
- The counterparty dictionary
- Your license key and the result of its check (expiry date, time of the last check, activation ID)
These are not sent to the server, except when your license key is checked (section 3). Clearing your browsing data also clears them.
3. Information the operator obtains and why
| Information | When | Purpose |
|---|---|---|
| License key, activation ID | When you activate, check or remove a key on the pricing page | To confirm that you can use the paid plan |
| Browser type (first 64 characters of the User-Agent) | When you activate a key | To manage the number of browsers per key (3). It is sent to Polar as the activation name so that you can tell browsers apart in the customer portal |
| Usage events (whether you downloaded, opened the pricing page or pressed a purchase button, plus the page language and country) | When you do that action | To improve the service. File names and IP addresses are not recorded |
| Access records (IP address, browser type, pages viewed, referrer, time) | When you open a page | To prevent unauthorized access, investigate failures and count page views |
| Purchase information (order details, buyer's name, email address and country, billing information) | When you buy the paid plan (received from Polar) | To manage orders, answer inquiries and process refunds |
| The content of your inquiry and your email address | When you contact us | To reply and respond |
The operator does not use this information for any other purpose. The operator never receives your credit card number.
4. Buying the paid plan (Polar)
The paid plan is sold by Polar Software, Inc. (USA) as the merchant of record. The name, email address, billing information and payment details you enter at checkout are collected by Polar and handled under Polar's privacy policy. The operator receives the "purchase information" listed in section 3 from Polar.
5. Disclosure to third parties
Except as required by law, the operator does not provide personal data to third parties without your consent.
6. Outside services and the information sent to them
| Recipient | Information sent | Purpose |
|---|---|---|
| Cloudflare, Inc. (USA) | Connection information when you open a page (IP address, browser type, pages viewed, referrer), and the license key and usage events in section 3 | Serving the site, relaying license checks, caching check results (24 hours), storing usage events, and analytics (Cloudflare Web Analytics, which does not use cookies) |
| Polar Software, Inc. (USA) | License key, activation ID, browser type; information entered at checkout | Selling the paid plan and processing payments; issuing and checking license keys |
See Cloudflare's privacy policy and Polar's privacy policy for how each handles data. The service's pages do not use cookies to track users.
7. Security measures
The operator takes the following measures to prevent leaks of the personal data it handles.
- Keeping data to a minimum: the service is built so that your files are never received, and license checks use only the key and the activation ID.
- Organizational and personnel measures: only the operator handles personal data.
- Technical measures: connections are encrypted (HTTPS), and access to Cloudflare's and Polar's dashboards and API credentials is restricted and managed. License check results are cached for 24 hours under a hash, not the key itself.
- Physical measures: devices used for operations are protected with screen locks and against theft and loss.
- Understanding the foreign environment: the outside services that handle personal data are Cloudflare, Inc. and Polar Software, Inc. in the USA. Cloudflare's servers are located around the world and process requests near the user, so the country of processing cannot be identified. The operator takes security measures after understanding the personal information protection system of the USA, using information on foreign systems published by Japan's Personal Information Protection Commission and other sources.
8. Requests for disclosure and other actions
You may request notification of the purpose of use, disclosure, correction, addition or deletion, suspension of use or erasure, and suspension of third-party provision of your personal data held by the operator. Please contact us at the address in section 10. After confirming your identity, we will respond without delay in accordance with the law. There is no fee.
9. Changes
The operator may revise this policy to reflect changes in law or in the service. Important changes will be announced on the service's website.
