Bulk-rename Rakuten Ichiba receipt and invoice PDFs
Rakuten Ichiba receipts and invoices are issued one order at a time from your order history. Once there are many of them, renaming each one to meet the search requirement of Japan's Electronic Books Preservation Act becomes a lot of manual work. This page covers the conditions for issuing them, whether you should download them, and how to name them all in one go.

Issuing a receipt or invoice on Rakuten Ichiba
For an order placed with a Rakuten ID, go from the purchase history list to the order's details, then to the order details page, and issue it from "receipt / invoice" there. If you ordered without a Rakuten ID and password, enter the order number and your email address on the order lookup page first, then issue it from the same place. The Rakuten Ichiba help describes the smartphone screens, so the labels can differ a little on a computer.
Whether you get a receipt or an invoice depends on the payment method. Credit card, bank transfer, 7-Eleven (prepaid), Lawson and post office ATM (prepaid), deferred payment, Apple Pay and PayPal produce an invoice-system receipt. Cash on delivery, shopping credit or loan, auto loan, lease, payment by invoice and Alipay produce an invoice-system invoice. With either payment method, one is issued even if you paid entirely with points.
It can be issued once the order's status is payment confirmed (for orders with no shipment, such as downloads from Rakuten Books, order processed is enough). The limit is two years from the order date, and orders from a shop that has left Rakuten Ichiba cannot be issued from the purchase history. Furusato tax donations cannot be issued from the purchase history at all.
There is no limit on how many times you issue one. From the second time on, however, it is marked as reissued, and if a change or cancellation moves the latest receipt or billing date, the issue date changes with it.
Download and keep it, or leave it viewable on the site
Q45 of the National Tax Agency's Electronic Books Preservation Act Q&A [Electronic transactions] says that where receipt data can be viewed whenever you need it on the page that manages your purchases on an EC site, you do not necessarily have to download and keep it.
Conditions apply. First, it only holds where the EC site itself meets the requirements that you, as the party with the keeping obligation, would have to meet: assuring that the records are genuine, and providing search functions. Second, the data has to stay viewable on that site until the retention period set by each tax law ends. If it will stop being viewable before then, you must download and keep it before that happens.
Rakuten Ichiba only issues receipts and invoices within two years of the order date, which is shorter than the retention period for books and records (seven years as a rule), so downloading and keeping the files yourself is the safer course. Q44 adds that even when you download them together whenever it suits you, you have to download them within the year the transaction falls in and keep them under the requirements.
Which date, counterparty and amount go in the file name
A Rakuten Ichiba receipt carries four dates (first receipt date, issue date, order date, shipping date), two amounts (grand total and amount paid) and three names (addressee, issuer and shop name). Decide which ones you use first, and keep it the same every time. Dencho Rename reads them as follows.

Naming them all in one go with Dencho Rename

Frequently asked questions
Does a Rakuten Ichiba receipt count as a qualified invoice?
If the shop is a registered qualified invoice issuer, the receipts and invoices you download from your purchase history support the invoice system. Each shop's status is shown on its company profile page. The documents are issued by the shop, not by Rakuten Ichiba.
Can I download the receipts for several orders together?
The procedure in the Rakuten Ichiba help issues them one order at a time from the order details. No way to download them together is described. Downloading them order by order and then naming them all in one go with Dencho Rename is the quicker route.
How do points I paid with appear?
As long as you chose one of the eligible payment methods, a receipt is issued even if you paid entirely with points. The receipt shows both the grand total and the amount paid after points.
What if the order includes items at the reduced tax rate?
Items subject to the 8% rate are marked as 8% in the item details. The tax breakdown also lists the amounts for the 10% and 8% rates separately.
What about orders older than two years, or shops that have left Rakuten Ichiba?
They cannot be issued from the purchase history, so ask the shop. Downloading them before the limit runs out is the safer course.
How many files can I process at once?
On the free plan, up to 5 files can be in the table. After saving, clear them from the table and process the next 5. The paid plan (480 yen a month or 3,980 yen a year) has no limit, and you can line up a few hundred files at once.
Is anything needed besides the file name?
The file name covers the search requirement. Keeping electronic transaction data also requires measures against tampering, such as setting internal rules and following them (the search requirement explained, how to build an index book).
What we have not checked yet
We have not yet tried reading a real Rakuten Ichiba receipt PDF. With text laid out in the same fields and the same order as the sample in the Rakuten Ichiba help, we have confirmed that the first receipt date, the issuer, the grand total and the document type are read correctly (we checked the invoice form too). If the text in a real PDF is laid out differently from the sample, or the PDF has no text layer, it cannot be read. We have not checked what file name the download gets either. Reading is not perfect, so check the table before you save.
